Job Summary: The Scheduling Coordinator supports daily operations by scheduling and maintaining appointments for clients and staff using multiple computerized scheduling systems, including Central Reach. This role is essential to creating a positive experience for families and supporting staff success. You will work closely with multiple departments and communicate regularly with clients, families, and employees.

Essential Duties:

  • Schedule, update, and maintain client and staff appointments using a computerized scheduling system

  • Communicate schedule changes with clients and staff clearly and professionally

  • Match staff availability and skill sets with client needs

  • Maintain patient confidentiality and follow HIPAA guidelines

  • Build positive, professional relationships with clients, families, and employees

  • Stay organized while managing multiple tasks throughout the day

  • Maintain and update Excel spreadsheets for scheduling accuracy, audits, and organization

Qualifications/Requirements:

  • 1-3 years’ experience in scheduling.

  • Advanced communication and organizational skills.

  • Experience using the Central Reach database or similar systems.

  • Strong attention to detail and willingness to learn.

  • Computer proficiency skills: Google docs, Microsoft.

  • Ability to function independently with minimal supervision.

  • Consistently display a positive, cooperative, self-motivated, courteous, and professional attitude.

  • High school diploma/GED required.
